Data entry
Entering transactions with the Data Entry form
Choose the transaction type on the Data Entry screen, fill in the dates correctly and learn whether a record is added as Active or Pending.
Data Entry is the single screen where you record sales and transactions. Every record you enter here flows into target tracking and commission calculation.
Entering a record
- Open Data Entry from the menu.
- Pick the type in the Transaction type selector. Types come from the template, and your last choice is remembered.
- Set the branch and the employee. If one branch is selected in the top bar, the branch comes from there; a Sales Representative can only enter records in their own name.
- Under "Transaction details" fill in the fields of the type; required fields are marked and an invalid value is explained under the field.
- Press Save. The record appears in the "Entered today" list below the form.
The quantity field appears only for types that allow quantity entry; its default is 1. The Accountant role cannot enter data.
Transaction date and activation date
- The transaction date is the day the request was received. It defaults to today (or to the period's report day if the selected period does not contain today), and a future date cannot be entered.
- The activation date decides which period the record counts in. For immediate transactions it equals the transaction date; for a pending record it stays empty until the record is made active.
The names of these two fields come from the template. In the ready telecom template they are "İşlem tarihi" (transaction date) and "Aktivasyon tarihi" (activation date); another template may name them differently.
Active and Pending
| Status | Meaning |
|---|---|
| Active | The record counts in the period of the date entered. |
| Pending | The record does not count in any period yet; it counts once it is made active. |
The rule of the transaction type decides the status; in telecom, for example, a number-porting order takes days, so it is entered as pending. Before you save, the form tells you which status the record will get. Make a pending record active with Activate in the "Entered today" list. The status names also come from the template ("Aktif" and "Beklemede" in telecom).
Closed period
A record whose date falls in a closed period cannot be entered; the screen shows a banner. Choose another date, or ask the Customer Admin to reopen the period.
