Entitlements and payments: from period close to collection

How entitlements arise when you close a period, and how to record collections and payments, handle clawbacks, recalculations and reconciliation.

Updated

When a period closes, the estimated commission becomes final and entitlements arise: the amounts to collect from the paying company and the amounts to pay to your personnel, each with due dates. This page walks through the flow from closing to collection. The screens involved are for the Customer Admin and the Accountant.

1. Close the period

On the Periods screen, choose Close period for a period that has ended (Customer Admin only). On closing, the premium calculation is stored with the data of that moment and the entitlement items are created with their due dates. An open period has no entitlements.

2. Record collections and payments

  1. Open Entitlements. The summary at the top shows the total entitlement, the remaining receivable and payable, what is overdue and the due-date calendar.
  2. Pick a period and the direction: the paying company's receivable or "To the personnel".
  3. On an installment row, record the collection or payment: enter the amount, the date (not in the future) and an optional note.
  4. To settle several installments at once, select them and use Mark as collected or Mark as paid.

The payment plan comes from the template: some items are split into two installments, others are a single installment due at period end. An amount below the installment counts as partial; the full amount or more settles it. An installment that is past due and not fully settled shows as "Overdue".

3. Correction screens

ScreenWhat it does
ClawbacksMarks records the paying company reported as cancelled or churned (reasons: Cancelled, Churned, Contract cancelled, No traffic, Fraud). A record is found by the template's lookup field (GSM in telecom), and a bulk list can be pasted. Records within tolerance are not deducted and Fraud never counts as tolerated. The rest are taken off the entitlements as a deduction when the period closes.
RecalculationWorks out a closed period's entitlements again after its control period is over. You see a preview first, then press Apply from the control date on, and can Revert if needed.
ReconciliationYou enter the amounts from the paying company's statement next to your own figures. A differing item is marked "Accepted" or "To be disputed"; an accepted difference is written to the entitlements as an adjustment line.

Reconciliation statuses are Not entered, Matched and Different. A collection says that money has arrived, a reconciliation says the amount is right; the two are independent.

Reopening

A period with a collection or payment recorded on its entitlements cannot be reopened. A period without any is reopened with its entitlement items removed, and they are created again from the new calculation when it is closed.
